LSA Job Opening — Operations Coordinator

The London School of Architecture is seeking an enthusiastic operations coordinator to join our team in our new studio in London Fields.

OVERVIEW

The operations coordinator is a supporting role with responsibility for the day-to-day administration of programme and the maintenance of digital records and physical resources for the school.

KEY RESPONSIBILITIES — Studio management:

  • manage all aspects of the studio’s day-to-day running, including printing, cleaning and so on, as set out in the operations manual (OM)
  • ensure appropriate security measures are in place
  • order all studio supplies
  • liaise with all studio service providers

Diary coordination:

  • make appropriate room bookings for all spatial requirements
  • establish and update the Google calendar with all programmed activities
  • perform as diary assistant to the director
  • invite external guests to academic reviews IT management
  • be the G Suite administrator
  • manage the server on the G Drive, including maintaining the classroom folder
  • set up new email accounts and groups, and monitor usage and security
  • share calendars with all appropriate parties
  • maintain all contacts databases
  • upload student marks to E-Vision for London Met
  • set up students and staff with printing accounts
  • upload student submissions and feedback to relevant programme folders and student studio folders

Student registration:

  • enrol students with London Met as set out in the OM
  • establish a digital file for each student, containing all mandated documents (passport, transcripts, etc) as set out in the OM
  • be responsible for the day-to-day management of digital records

Support:

  • facilitate the recruitment process for new staff
  • process student and staff expenses
  • support the operations manager with telephone, email, face-to-face and postal enquiries as set out in the OM
  • assist the operations manager and registrar with ad hoc tasks as required
  • post graduate diploma certificates and transcripts of studies in collaboration with London Met following completion of studies
  • help organise the summer season and other events

PERSON SPECIFICATION

It is essential that the applicant has:

  • an excellent working knowledge of Microsoft programmes, including Word, Excel and databases
  • excellent computer literacy skills
  • substantial office experience
  • excellent organisational skills
  • excellent communications skills with people at all levels
  • the ability to use initiative, multi-task and work as part of a team and independently
  • a positive attitude, sociability and a sense of humour

It is desirable that the applicant has:

  • experience of working in higher education
  • knowledge of InDesign
  • an interest or knowledge of the architectural profession
